Business productivity is consistently at the top of the priority list for any business leader, and not only. It’s no surprise that this happens.

Data shows employee disengagement could cost medium-sized S&P businesses between $228 and $355 million annually in wasted productivity. (McKinsey study linked at the bottom of the article.) Hence, let’s dive into some practical and proven methods business leaders can use to improve productivity.

In this article, you will:

What is business productivity?

Productivity is the measure of a business’s output relative to the input.

Macroeconomics explains that business productivity measures how efficiently a company converts inputs, such as capital and labor, into outputs, like products or services. The equation is the value of services and products produced divided by the amount of labor and capital used in its production.

Therefore, the main metrics companies measure when assessing business productivity are capital productivity and labor productivity. Capital productivity measures physical capital like raw materials, energy costs, office equipment, software, and hardware tools, while labor productivity measures labor costs, work hours, and others.

What is business productivity?

Generally, productive companies are able to generate more value with less waste, and it is not just about doing things quickly but doing the right things – the things that actually move the needle for their business.

Concluding, business productivity refers to the efficiency and effectiveness of a company’s operations. It’s about maximizing output while minimizing input and doing so in a way that aligns with the organization’s strategic goals.

Key metrics to measure productivity

In order to maximize productivity, there are a few key metrics you need to assess to ensure that you’re measuring the real impact on your bottom line.

Here are some examples:

  • Labor productivity: This is the classic productivity metric, measuring the output per hour of work. It can be simply calculated with time-tracking apps.

  • Project completion rates: For project-based work, tracking the percentage of projects completed on time and on budget is an important productivity indicator. It helps identify bottlenecks and areas where more resources are needed.

  • Total factor productivity (TFP): TFP takes into account not just labor but also capital investments like equipment and technology. It’s a more comprehensive measure of how efficiently a company is using all of its resources.

  • Gross value added (GVA): GVA measures the total value of goods and services produced by a company minus the cost of intermediate inputs. It’s a useful metric for assessing the overall productivity and economic contribution of a business.

  • Revenue per employee: This metric assesses the total revenue generated divided by the number of employees. It’s a good way to measure the overall productivity and profitability of your workforce.

  • Employee satisfaction and engagement: While harder to quantify, employee satisfaction and engagement are critical drivers of productivity. Metrics like employee Net Promoter Score (eNPS) and absenteeism rates can give you a sense of how motivated and committed your team is.

  • Capacity utilization: This metric measures the percentage of total available work hours that are actually being used productively so you can understand if your staff is underutilized or overutilized.

By regularly tracking these metrics, you can get a data-driven picture of your team’s productivity and make informed decisions about where to focus your productivity improvements.

The key to improving productivity is to not just measure productivity but to use those measurements to drive continuous improvement.

benefits of business productivity

Why does business productivity matter?

Before we jump into the nitty-gritty of productivity strategies, it’s important to take a step back and address the question of why business productivity even matters and what the real impact on your bottom line is.

The benefits of a highly productive business are nothing short of game-changing. Here are some benefits:

  • Increased profitability: When your team is firing on all cylinders, you can get more done in less time, which translates to lower costs and higher profits. In other words, you’re reaching economies of scale. It’s a simple equation, but by increasing productivity, your business can be better equipped to generate higher profits and charge lower prices with the same resources invested.

  • Competitive advantage: One of the fastest and best ways to stay ahead of the curve and outpace your competitors is to adapt and innovate quickly. Once you improve productivity, you’re on the way to coming out on top quicker than your competition.

  • High agility and responsiveness: Productive businesses are often better at communicating and streamlining their decision-making processes. Hence, this enables business leaders and teams to react quickly to market changes, customer needs, or internal challenges.

  • Enhanced innovation capacity: Efficient operations will free up your time and resources that can be directed toward R&D and innovation. This way, you’re driving a continuous improvement of products and services while keeping your business at the forefront of your industry.

  • Improved employee engagement: When productivity increases through efficient processes and better tools, employees often feel less stressed and more engaged. This boosts morale and individual productivity, which leads to higher retention rates, reduced absenteeism, and a stronger company culture.

Top strategies to boost productivity

1. Capitalize on digitization and automation

A McKinsey study on productivity reveals that they identified a 70% correlation between productivity growth and digital adoption between 1989 and 2019 among companies from the US.

The information sectors, including software, telecommunications, and internet publishing, have had the highest productivity increase, with an average of 5,5% growth since 2005.

On the other side of the spectrum, service-led sectors such as accommodation and food services or healthcare saw the lowest productivity growth and are among the least productive industries.

The conclusion is simple: Start adding technology layers to all your processes, streamline operations, and automate all your time wasters.

Implementing only one tool into our tech stack can cover many business needs. For example, an AI time-tracker can do the following for you:

  • Generate reports automatically on how time is spent on tasks so you can quickly identify operational blockers and stay on top of employee productivity;

  • Manage resource allocation better, based on real-time progress on projects;

  • Capture billable hours in case you need to bill accurately to clients or identify profitability blockers;

  • Manage all types of time off without an additional leave tracker;

  • Generate payroll timesheets automatically;

  • Understand trends in team and personal productivity trends,

  • Stay on top of your team’s mental health by tracking their overtime hours;

One tool only can 10x your business productivity

Record and report all time-related and productivity matters without constantly switching between tools with Timeular, the most effortless and smart time-tracking app.

In essence, such a tool determines the future of your internal process, identifies what daily tasks consume most work hours, understands work habits, recognizes patterns, and gains a deeper understanding of where the time goes.

2. Adjust your business strategy to match your digital transformation

McKinsey research found that companies typically realize only 25% to 30% of the expected value from digitalization. The shortfall, according to their research, lies in the lack of updating their business strategy or model to augment the digital transformation.

The same research found that frontier firms that increase productivity due to digitization set new business goals enabled by technology. Simply said, they reconfigure their businesses in order to digitize operations that can capture the benefits of technology.

Therefore, once you digitize processes in your own business, to have guaranteed increased productivity, you need to adjust your business strategies.

If pivoting to a business model or strategy sounds like an extensive complex project, here are simple and small steps to start with in boosting productivity:

  • Begin by identifying one or two key areas where technology can significantly impact productivity in the workplace. For example, if you own a retail business, you could start by implementing an inventory management system to streamline your stock control and ordering processes.

  • Implement digital collaboration platforms to improve communication and productivity among team members. If you own a small marketing agency, you could adopt AI-powered project management tools to streamline workflows and ensure deadlines are met.

3. Build a future-proof workforce

Leaders win the talent war once they recognize the value of their employees, invest in their professional development, and prioritize their job growth. The options available are to either disproportionately secure and invest in-house in skilled talent to leverage technology or attract top talent. This process can take many forms:

  • Providing mentorship opportunities
  • Investing in online learning platforms
  • Encouraging cross-functional training
  • Enrolling them in boot camps

The list can continue, but the main traits of a future-proof workforce are adaptability, innovation, and equipping employees to leverage new technologies for increased productivity.

4. Foster a time-conscious culture

One of the biggest productivity killers is wasting time in meetings, with emails, or by working without a structure or time management strategies. So, here are some strategies that contribute to a better relationship with time and better productivity:

  1. Implement a “No meeting day”: Designate one day per week where no internal meetings are allowed, giving employees uninterrupted time to focus on deep work and individual tasks.

  2. Adopt a “20% time” policy: Allow your team to spend 20% of their work time on self-directed projects related to the company’s goals, fostering innovation and creativity and dedicating their time to what they feel matters and impacts the business most.

  3. Implement timeboxing: Encourage employees to allocate fixed time periods for specific tasks, as this helps them increase focus and prevent overtime work or project delays.

  4. Biorhythm-based scheduling: Allow employees to work during their most productive hours based on their individual circadian rhythms, which could mean different start times for different team members.

Did you know that even a simple method like Don’t Break the Chain, the productivity method that made Seinfeld a legend can have a big impact on your team’s productivity?

Your team spends 1,912 hours at work. How do you leverage their time?

Make sure their time is well spent by managing it with automatic, smart and secure time tracking apps.

Unconventional ways of improving workplace productivity

Productivity is driven by many elements in a work environment. It can be a result of how employees feel in relation to failure, whether they delegate tasks or not, or their personal productivity techniques or lack thereof.

Nonetheless, there are unconventional and effortless ways to boost productivity without investing in expensive tech or changing your business strategy altogether. Here are some simple examples:

  1. “Failure walls”: Create spaces where employees can share their failures and lessons learned so you can foster a culture of experimentation and continuous improvement.

  2. Holacracy or flat organizational structures: Implement self-management systems that distribute authority and decision-making throughout the organization. Flat structures have a high potential of generating business growth and high productivity as they increase the agility of a business.

  3. Adopt a results-only work environment (ROWE): Focus on outcomes rather than labor hours worked and other similar metrics, as in this way, you’re assessing metrics that have a direct impact on your organization, and you’re giving employees more autonomy over when and how they complete their tasks.

  4. Foster co-creation with hackathons for internal processes: Organize regular events where cross-functional teams work intensively on solving internal challenges or improving company processes.

  5. Use artificial intelligence for administrative tasks(and not only): Implement AI-powered tools to handle routine, repetitive tasks so you and your team free up time for more complex and creative work.

  6. Use gamification: Incorporate game-like elements into work processes to increase engagement and motivation, such as point systems, leaderboards, or badges for completing tasks or reaching goals.

It’s high time you increased productivity

You’re now equipped with some of the most effective strategies to improve business productivity. Remember, you don’t have to implement all of these strategies at once. Start small, experiment with different techniques, and see what works best for your unique team and business.

The key is to stay consistent and committed to the process. Productivity isn’t a one-and-done thing – it’s an ongoing journey that requires constant iteration and improvement. You’ll slowly be able to take on bigger challenges, innovate more quickly, and ultimately, drive more success for your business.

How to make time go faster when the workday seems to never end? In fact, there are some proven ways to make time go faster at work, and in this article, I am going to share my favorite techniques.

Unfortunately, I cannot help you manipulate the passage of time. What I can do instead, is to teach you how to change your perception of time.

If you’re looking for tips to make time go by faster at work, you’re in the right place. By applying some of my tips, work hours will fly by, and you’ll quickly be free to enjoy yourself after you’re done for the day

how to make time fly

Practical tips on how to make time go faster at work

How to make time fly during your workday? Here is a short guideline:

  1. Learn time management techniques
  2. Track time at work
  3. Implement task management techniques
  4. Stop looking at your watch
  5. Practice deep work
  6. Create a predictable routine
  7. Try time blocking
  8. Prioritize pleasant and meaningful work
  9. Change your work scenery
  10. Incorporate background music
  11. Engage in activities that help pass time
  12. Challenge yourself to constantly acquire new skills

Let’s get into the details.

1. Learn time management techniques

There are so many time management techniques that make time pass faster! Let me mention my favorite ones, like Eat the Frog technique, day theming, following your internal clock, or the popular Pomodoro Technique.

I’ve been practicing all of them for numerous months now, and they definitely helped me to achieve a flow state at work. To discover more strategies, read the article about time management strategies.

2. Track time at work

Time tracking is another life-changing practice that helps time fly. The key to success is to use a time tracking app like Timeular instead of an old-school pen-and-paper method (it’s too boring and takes too much time).

Using a time tracker can make time seem faster as it shows you how much time has passed since you started working on a specific project. Visualizing your progress can provide a sense of accomplishment and momentum, making time feel like it’s passing faster as you move closer to completing your goals.

3. Implement task management techniques

One great trick to make the time speed up while you work is organizing your day so there are no dead moments. Following a flow keeps us stimulated and much more productive.

To achieve that, you’ll have to plan your day efficiently. A practical step to planning your day efficiently is creating a to-do list, which helps in organizing tasks and making use of time productively during a slow day.

4. Stop looking at your watch

By now, you’re likely aware that constantly checking the clock doesn’t speed up time. Our perception of time is subjective; the more you focus on it, the more granular it seems. This excessive focus on the clock can significantly contribute to the feeling that time drags, making the wait for something exciting feel even longer.

Then there’s chronostasis. It occurs when you glance at an analog clock and momentarily feel like the second hand has paused. Did you catch the clock in a momentary lapse that only you noticed?

No, science explains chronostasis as the brain’s attempt to fill in the gap caused by a rapid eye movement, momentarily halting visual input, with a fabricated narrative. The rapid eye movement creates an information break, which is “hidden” with the illusion that the clock is not moving.

So instead of looking at the clock every few minutes, only to be left feeling disappointed, try to divert your attention elsewhere.

5. Practice deep work

To really get what deep work is about, it helps to start by looking at the opposite.

These days, most of us spend our time jumping between tasks, dealing with emails, calls, and loads of messages in the company chat. But here’s the thing: multitasking decreases your productivity. It just leaves us feeling drained and doesn’t lead to meaningful work.

Deep work is the complete opposite. It’s all about zoning in on one thing, with no distractions. That’s where you find your best work – more productive, higher quality, and more creative. And weirdly enough, time seems to fly by when you’re doing it.

Some people call it being “in the zone.” Whatever you call it, deep work is one of the best ways to make time go faster at work – and get stuff done while you’re at it!

6. Create a predictable work routine

Have you ever noticed how you hardly remember the route you take to work every day? It’s like it’s on autopilot, right? That’s because routines, especially when they become predictable, are so ingrained in our daily lives that we barely notice them.

When you establish a predictable routine, your brain goes on autopilot and handles tasks without realizing how much time is passing. This strategy not only helps reduce moments of uncertainty or boredom but also makes time feel like it’s moving faster. While it may not be the best way to increase productivity or find fulfillment at work, it certainly helps time go by faster.

7. Try time blocking

Time blocking aka time boxing is not only a great method to make your time fly, but it’s also one of the most effective ways to accomplish the deep work we discussed earlier.

Time blocking consists of blocking off periods in your calendar to work on certain tasks. During that time, nothing should interrupt you.

Each individual should create blocks according to his or her priorities and the ability to concentrate. I advise you once again to try the Pomodoro Time Management Technique and a Pomodoro timer (25-minute work sessions alternated by 5-minute breaks). If it doesn’t work for you, look for alternatives in our post about the best Pomodoro alternatives.

TIP: Use our free printable time blocking templates to start with time blocking.

8. Prioritize pleasant tasks and meaningful work

Engagement tends to drop when you’re stuck doing work that feels meaningless. And when you’re disengaged, boredom creeps in. You find yourself checking the time more often and feeling like the day drags on forever.

To avoid ending the day feeling completely drained, try organizing your day or week in a way that prioritizes meaningful work.

Here are a couple of tips:

  • Focus on the work that excites you the most when your creativity is at its peak (for many, that’s in the morning).
  • Save the less demanding tasks for when you’re naturally less productive.
  • Sprinkling enjoyable tasks throughout the day can also help time fly by, making the less pleasant tasks feel more manageable.

9. Change your work scenery

The place where we work influences our well-being and productivity. For this reason, I suggest you improve your work environment by getting rid of all clutter and distractions.

Another suggestion is to change the scenery during a break time if you work on-site. If you work at home, try working from another room or going to a coffee shop, a co-working space, or a public library. Change is good, exciting, and stimulating.

These small changes in your daily work routine will make the day more exciting and the hours go by faster.

10. Incorporate background music to jazz up tedious tasks

Adding music to mundane work can make it more enjoyable and help time go by faster. This simple trick can jazz up your workday and enhance productivity.

Your favorite tunes can uplift your mood, boost motivation, and keep you focused. I recommend you to choose instrumental tracks like video game soundtracks or genres that aren’t too distracting.

Here are my personal favorite Spotify playlists:

how to make the time go faster? incorporate backrground music to jazz up tedious tasks

11. Engage in activities that help time go by faster

When you find yourself in the midst of a long workday, engage in activities that help break up the monotony and keep your brain fresh.

Take short breaks at regular intervals throughout the day. They don’t need to be long – even just a few minutes away from your desk can help recharge your batteries. During breaks, consider engaging in simple, non-distracting activities such as stretching, going for a short walk, or practicing deep breathing exercises.

These activities can help you stay alert and focused while also providing a much-needed mental break from your work. By incorporating these activities into your daily routine, you can make the workday feel shorter and more manageable.

12. Challenge yourself to constantly acquire new skills

Sometimes demotivation can be a result of a feeling of lack of novelty and knowledge to go further. Without knowledge renewal, your work will become less and less challenging and, therefore, more boring. In turn, the more bored you are, the slower time passes – we’ve already covered that.

Therefore, you must ensure you don’t become stagnant. Find opportunities to grow and learn, whether it’s enrolling in a course, attending a conference, or a webinar. Who knows, you may even be promoted to a position where the speed at which time passes is no longer a concern.

PS. Yes, engaging in mental challenges like puzzles, brain teasers, or strategic games can also help keep the work engaging and make time pass more quickly.

how to make work go by fast? first understand why time passes so slowly

Why does time pass so slowly at work?

Time flies when you’re having fun but drags on endlessly when you work on boring projects. This phenomenon, known as ‘time drag’, occurs when engaging in repetitive or dull tasks, as there’s little to stimulate the mind or capture interest, which can significantly impact teamwork and engagement.

The perception of time is very particular and variable. It can change with your emotional or physical state, engagement, and even events in your personal life.

Unfortunately, not everyone is working their dream job. With very rare exceptions, we’ve all worked at some point at something we don’t like. And this poses a real mental challenge.

Even if you have a job that you genuinely enjoy, there may be moments when you feel time is passing more slowly.

There are multiple reasons why time passes slowly at work:

Perception of time is highly subjective

…and can be influenced by individual differences, such as personality traits and cognitive styles. For example, individuals with a tendency to ruminate or dwell on negative thoughts may perceive time as passing more slowly. To fight this, try one of the time management apps.

You’re bored

Uninteresting meetings seem to last a lifetime, while a dinner with friends goes by in a flash. Vacations rush by, but the first week of work feels like three. You get our point, right? When you are feeling bored, especially when performing repetitive tasks, time seems to slow down, and there is lots of research proving that.

You have too much workload, or your task is too complex

Theoretically, having mountains of work should make time pass faster. Unfortunately, it doesn’t. When you don’t know where to start or feel lost in the amount of work that awaits you, your internal clock is lost, too.

You focus too much on the clock

If you’re spending time keeping an eye on your clock, you’re more likely to notice how slowly it progresses. And the more aware you are that time passes slowly…, the slower it goes!

You feel disengaged

There are many reasons why you feel disengaged. It may be due to the nature of the work, your state of mind, or even a failure to identify with the company’s values. Whatever the reason, this feeling of non-identification or lack of purpose can contribute to the feeling that time passes more slowly.

Conclusion

The truth is that there are no perfect jobs. At some point in your work life, you have felt like you would like to wave a magic wand and make time go faster.

Our perception of the passage of time depends on several factors, from our workload to our mental state and motivation. If you’re going through a difficult time when work doesn’t fly by, I hope this article has helped you.

What is poor time management?

Poor time management refers to the inability to use your available time effectively, leading to missed deadlines, increased stress, and reduced productivity. It often involves procrastination, such as delaying tasks until the last minute, failing to prioritize important activities, or underestimating the time required for tasks.

For example, spending excessive time on less critical tasks like checking emails frequently or engaging in non-essential meetings instead of focusing on high-priority projects can exemplify poor time management. This lack of organization and prioritization results in inefficient work habits and can negatively impact your overall performance.

What is your relationship with time?

Now that you understand how to effectively manage your time, you need to understand what your ground zero is.

You may think you have done all the self-reflection you need, but maybe you should ponder on that for another moment.

The challenge with inadequate time management is that despite being busy, you’re probably not budgeting enough time for important tasks. Hence, this leads to working overtime, missed deadlines, and higher stress levels.

So, before jumping into time management strategies and skills, understand where you are at with a time audit.

How to carry out a time audit?

A time audit is an analysis of how you’re spending your time on different tasks, what your time wasters are, and recognizing patterns of productivity or lack of it. It involves tracking and reviewing how you spend each work hour and even personal pursuits if you’d like and identifying how these align with your goals.

By understanding where your time goes, you can make informed decisions to optimize your work habits.

Find out how a small business owner used data to halve his work and double his revenue.

The best way of gaining a quick but precise overview of how you currently use your time is to automatically track time for a week up to a month.

TIP: Since your purpose is to save time and ultimately build a time management strategy based on what you have learned, you must choose a straightforward method rather than add another task to your to-do list. Make the process seamless for you.

Start by tracking all your activities for a week, categorizing them if necessary, and then analyze the results.

Here are the simple steps:

Set up your free time tracking

Automatic time tracking offloads the struggle of manually jotting down what you’re doing. You could manually write what you’ve worked on every half an hour in a detailed log, but it defeats your purpose:

to gain insights into your relationship with time, transform learning into an effective time management strategy, and enjoy its benefits.

You’ll understand more by reading about manual timesheets and why you should ditch them.

To perform a time audit effectively, your first step in this phase is to set up a free time tracking tool. By connecting it to your calendar, you can effortlessly monitor how you spend your time.

This immediate setup enables you to develop the habit of tracking your activities with simple calendar integration. With automated time tracking, you eliminate the need for manual logging, making the process seamless.

Follow these steps to merge your calendar for an automated time-tracking audit:

1. Sync your calendar with free time management tools

A time-tracking app such as Timeular makes this process effortless for you, as it automatically records your work in the background while you focus on your most important tasks.

Create your free Timeular account and sync your calendar to start tracking your activities

Once you’ve created your account, you can focus on your work, and the tool will automatically pull the relevant information for your time audit, such as:

Understand work-life balance through overtime

Your overtime hours easily reflect your personal well-being. To finalize your time audit and start applying time management strategies, you must understand how much work you invest outside regular work hours.

Not only does this help with improving your work-life balance, but it also provides valuable data for determining the profitability of projects. By analyzing the amount of overtime put into a project versus its profitability, you can decide which projects to prioritize and which need reevaluation.

In Timeular, you can set work hours, and the overtime will be recorded automatically. If you are working with a team, and you’re all tracking your time, this is how your timesheet can look like:

3. Draw conclusions on your time relationship

With the instruments from your time-management tools, you can draw your own conclusions on whether or not your relationship with time is poor.

By the end of your audit, you should have a blueprint of how you spend your time, data that can act as a reality check, and a starting point for efficient time management. However, when you’re tracking your time, to get a realistic overview, remember to:

  • Keep a detailed log: Allow the app to track all your activities;

  • Be honest: It’s crucial to be truthful about your work. The aim is not to judge or feel guilty but to get a clear overview.

“Since we started using Timeular and tracking our time, we’ve never made another mistake in planning, creating accurate proposals, or budgeting for clients. It’s so easy to use. Everyone uses it, and it shows.” – AC Coppens, Founder of THE CATALYSTS

Effective time management strategies

Armed with your blueprint and insights from your self-reflection provided by your time audit, it’s time to craft a new plan.

Effective time management strategies help you control your time better, stay focused, minimize distractions, and manage your time to reach your desired outcomes.

In essence, when time management skills fall short, a time management technique gives you a road map for investing your time more efficiently.

1. The Eisenhower Matrix

The Eisenhower Matrix, or the Urgent-Important Matrix, performs as your decision-making tool. It helps you prioritize tasks and categorize them into four buckets.

The buckets represent the following categories:

  • Important and urgent: Do these tasks immediately (e.g., urgent tasks, pressing deadlines, meetings).

  • Important, but not urgent: Decide when to add these specific tasks to your to-do list (e.g., emails, client calls)

  • Urgent, but not important: Delegate tasks, if possible, as these are manageable tasks that don’t require your specific skill set but need to get done ( e.g.,: long-term projects with an unclear or delayed deadline)

  • Neither urgent nor important: Delete these non-essential tasks, as this category helps you recognize where your time is wasted.

2. The Pomodoro Technique

The Pomodoro technique slices your work time into intervals, typically 25 minutes of deep work, separated by short breaks. Each interval is known as a “Pomodoro,” and after four bursts of 25 minutes, you take a longer break.

This time management technique helps you stay focused, minimize distractions, and tackle only one task promptly while avoiding getting tired or burned out.

To implement the Pomodoro technique, use a simple and free Pomodoro timer.

3. Time blocking

With time blocking, you dedicate specific blocks of time for each activity on your daily plan. Setting aside dedicated time for different types of tasks ensures they get the attention they need without overlapping or being pushed aside by other tasks.

With time blocking, you make a conscious effort to set a time limit and focus on a single task at a time. It forces you to abide by a structured schedule within certain time limits and develop better self-discipline.

Useful resources:

4. Timeboxing

Primarily used in Scrum and Agile project management, usually with Timeboxing, tasks are set within fixed time limits ranging from minutes to weeks, depending on the task complexity.

Timeboxing is a rapid planning method that promotes meeting deadlines and completing tasks within pre-defined timeboxes. It is one of the most utilized time management techniques among product and IT task managers.

What are the three A’s of time management?

The three A’s of time management are AvoidAssign, and Adapt. These principles focus on avoiding distractions, assigning tasks to others when appropriate, and adapting your plans as circumstances change to stay on track and be more productive.

  1. Avoid: This means avoiding distractions and non-essential tasks that eat up time. For example avoiding unnecessary meetings or limiting time on social media during work hours helps you focus on the important stuff.
  2. Assign: Delegating tasks to others is key. For example if you’re managing a project, assigning tasks to team members based on their strengths means the work gets distributed and gets done on time.
  3. Adapt: Being flexible and adjusting your plans as needed is the key to time management. If unexpected things happen like a deadline change or a new priority, adapting your schedule to deal with those changes helps you stay productive and hit your goals.

What are the 5 Ps of time management?

On a general level, the 5 Ps of time management are a principle that highlights how effective planning and preparation can help you avoid mistakes and improve your overall performance. The 5 Ps of time management are Proper Planning Prevents Poor Performance:

  1. Proper: Make sure you have the right tools and systems in place to manage your time well. For example a planner or digital calendar to keep track of tasks and deadlines.
  2. Planning: Create a plan for your tasks and goals. A daily or weekly schedule that outlines what needs to be done and when. For example setting aside specific times for project work, meetings and breaks.
  3. Prevents: By planning well you prevent problems and delays. For example anticipating potential obstacles and dealing with them in advance. For example preparing reports before meetings to avoid last minute rushes.
  4. Poor: Don’t do poor time management such as procrastination and disorganisation. For example instead of putting off important tasks break them down into smaller steps and tackle them progressively.
  5. Performance: Good planning and time management equals good performance and productivity. For example meeting deadlines and achieving your goals efficiently because you have a plan.

Effective time management skills

Knowing time management strategies is not enough to effectively manage your time. You also need to develop good time management skills to control your daily schedule, reduce stress, and ultimately boost productivity.

The learned time management strategies will fall apart on those stressful days, with the most challenging tasks looming on you and your to-do list piling up.

That’s why consolidating some core time management skills will impact your well-being and overall productivity.

You might want to learn about the top 10 causes of stress at work, too.

Let’s dive into the most useful time management skills:

Learn to say “No”

Setting boundaries and knowing your limits is crucial. Saying “No” to tasks that can be delegated or don’t align with your priorities is a powerful skill. It frees up your time to focus on a difficult task and contributes to your overall well-being.

It’s best not to feel any guilt for saying no, as that specific take you refused to handle might be a time waster, in fact.

TIP: How to identify time wasters.

Delegate

Learn to trust others with tasks that are beyond the critical few that you need to perform yourself. Just as the Eisenhower technique states, an activity that’s not important and urgent can easily be delegated. Delegating tasks not only frees up your time but can also empower your team.

Avoid multitasking

Contrary to popular belief, multitasking is less effective than focusing on one task at a time. It often leads to errors and a decrease in productivity. Train yourself to focus on one task and see it through to completion while minimizing distractions.

Set deadlines

Deadlines create a sense of urgency and help you prioritize your work. Set deadlines for various tasks and be disciplined in meeting them.

Setting a deadline helps you and your team be motivated to focus on your ongoing process and ultimately reach your objectives. Even if setting deadlines is not part of the classical time management skills category, it has a considerable impact on project management in general.

Be flexible to adjustments

Review your time management techniques regularly to assess their effectiveness. Be flexible in adjusting your plan as needed to accommodate changes in priorities or unexpected tasks. It can be helpful to add buffer times to your schedule from the beginning.

Start taking control of your time by diligently tracking it

Conclusion

Having an effective time management strategy is achievable as long as you understand where your ground zero is with a time audit, apply time management techniques, and improve your time management skills.

All these will increase your productivity, reduce stress, and achieve your goals efficiently. Remember, time is a limited resource that should be managed wisely.

Tip: The easiest way to improve your time management skills is by constantly tracking time with a time management app like Timeular. Here’s what Timeular does for you:

  • Automatic time tracking of your tasks: Timeular captures apps, websites, and documents usage, ensuring 100% control and GDPR compliance (note: your data is stored only locally);

How to improve work efficiency

As it was possible to read throughout the article, work efficiency has proven to be beneficial to both the employees and the employers. Although it stands as an ongoing development, there are several tips and ways to increase work efficiency.

Remember that not every single one must work out for you, but it’s important to define what are the best options available to your methods. Scroll down below and consult the following tips:

1. Improve time management

Good time management is the first step towards increasing work efficiency. There are only 24 hours in a day, and you cannot make it any longer!

If you have little experience with time management strategies, start slowly by implementing simple techniques such as the Pomodoro Technique, time blocking, or timeboxing to allocate specific time slots to tasks.

Efficient time-tracking software is a must, too. More on that below.

2. Use time-tracking software

A time-tracking app helps increase productivity with little effort! By regularly tracking your time, you finally understand where your time goes. You can easily spot time-wasting activities and shift your time to the tasks and projects that matter most.

At the same time, keeping the overtime and project budget in check becomes a breeze!

3. Plan your day ahead

Imagine you’re about to start your work day, but your agenda is blank while your to-do list is bursting. You go nuts thinking about what to do first and lose precious time in the morning to schedule daily tasks.

What efficient people do, is plan ahead and put structure in their schedules. How to do it? Before logging off from work, take some time to prepare for the next day.

4. Establish clear goals

Define clear and realistic work goals for tasks and projects so that you stay focused. Learn why it’s important to set realistic goals and how to set realistic goals.

5. Prioritize tasks

There are multiple ways to prioritize tasks efficiently! Use the Eisenhower Matrix or the ABCDE method to prioritize your tasks, but always place the high-priority elements first on the list.

TIP: Learn how to prioritize tasks in 7 steps.

6. Eliminate distractions

Discover and minimize the work distractions available in your work environment, even if you need to turn off notifications or use website blockers.

An online Pomodoro timer with background ambiance sounds helps with that, too.

7. Delegate tasks

Delegating tasks improves work efficiency by giving them to team members with the skills and expertise needed for efficient completion. This approach makes sure tasks are done well, boosting overall work efficiency.

TIP: Read our post to learn how to effectively delegate tasks.

8. Organize your workspace

Imagine you’re ready to work but can’t find your glasses. After getting them, you see your mouse has no batteries. Then, you can’t find your notebook because it’s buried under a mess of books, papers, and mugs.

Think about how much time you waste looking for things and cleaning up. Don’t use your best energy on small tasks that could be done when you are less focused.

Organize your workspace by doing the following things:

  • Bring the dishes, mugs, and glasses back to the kitchen
  • Throw away useless paper and trash
  • Archive papers and files
  • Organize your desktop
  • Check that your important work stuff is present on the desk. For example, keyboard, mouse, notebooks, and a physical time tracker if you have one
  • Wipe your desk
  • Put your chair back in place

9. Eliminate multitasking

Engaging in multitasking in the workplace can significantly hinder your efficiency. Avoid the temptation to juggle numerous tasks simultaneously, as context switching can lead to decreased productivity and increased errors.

Instead, concentrate on one task at a time, ensuring efficiency and maintaining a high quality standard in your work.

10. Take breaks

Short breaks can fully recharge your energy and concentration. Invest in techniques such as a 5-minute break or a quick walk to catch some fresh air.

11. Group similar tasks

Batching similar tasks to complete them all at once improves efficiency by avoiding context switching, which is detrimental to productivity.

To implement task batching, list all your to-dos, break them into smaller tasks, and group similar ones.

Implement this technique for:

  • Answering Slack messages
  • Editing images and videos
  • Editing article drafts
  • Making phone calls
  • Doing QA
  • Scheduling meetings

Extra tip: Tackle low-value tasks during low-energy times of the day.

12. Ongoing development

Make sure that you invest in gaining new skills and improving existing ones. Betting on yourself can significantly impact your efficiency.

13. Eliminate inefficient communication

Eliminating inefficient communication is crucial for work efficiency as it reduces time-wasting activities and enhances clarity. How to ensure that your communication within a team or with your clients remains efficient?

  • Efficient meetings, well-prepared with clear agendas and involving only necessary participants, prevent unnecessary gatherings.
  • Similarly, clear and concise emails and chat messages minimize the need for repetitive exchanges.
  • Using scheduling tools like Calendly or calendar features can streamline finding mutually available times, further preventing the ping-pong of messages and enhancing overall productivity.

Read: How to improve communication skills at work

14. Set deadlines

The more time you have, the more you will use to accomplish your task. That’s the rule of the Parkinson’s law. If you don’t set a deadline for the task you’ve planned, you’ll probably take it easy, procrastinate, and take as long as you like.

Instead, if you set a deadline for the task, you’ll be motivated to meet the deadline and avoid time wasters.

When assembling and assigning tasks, create realistic deadlines so that there is no false sense of urgency around tasks and projects.

15. Don’t be a perfectionist

According to Psychology Today, perfectionism is a real curse for efficiency. Reviewing your work for the tenth time or putting in extra effort by delaying a deadline harms efficiency badly. Better done than perfect, remember that.

Here are some helpful tips to overcome perfectionism and be more efficient:

  • Keep the main task’s goal in mind
  • Discuss expectations with your team and manager
  • Stop comparing yourself with others
  • Allocate a limited amount of time to the task
  • Reflect on whether the improvements will make a true real impact on the end goal

16. Regular reviews

When you have a periodic analysis of your work processes, it’s clear to see where you can make improvements and adapt to a current and optimized scenario. Remember to run time audits which help you understand if you use your time efficiently!

17. Ask for feedback

Communicate with your colleagues and superiors and look for constructive feedback that you can use to improve your work efficiency and productivity.

18. Learn keyboard shortcuts

According to productivity expert Andrew Cohen, keyboard shortcuts can save up to 8 days of work worth each year.

Keyboard shortcuts are straightforward commands that maintain your fingers on your keyboard instead of being interrupted to use your mouse. You might already know some of the most common ones, such as CTRL + C to copy and CTRL + V to paste.

Shortcuts will help you breeze through your daily work and save time and frustration. Following are some valuable resources to learn shortcuts, whether using Microsoft Windows, Apple Mac OS, or Linux.

19.  Find your ultradian rhythm

Working according to your ultradian rhythm can help you maintain high energy levels and concentration throughout the day, ensuring your efficiency stays high.

Chronobiology specialists explain that your ultradian rhythm is a recurring pattern hardwired into your DNA, guiding how your body functions over time. These rhythms help manage cycles of energy production, output, and recovery.

20. Be aware of the Ringelmann effect

The Ringelmann effect shows that as a group gets bigger, each person tends to contribute less. This is also called social loafing. Basically, the larger the group, the less each person feels responsible and motivated.

To work efficiently with your team, keep your group small—ideally no more than 4 people—so everyone stays involved and motivated.

21. Self-care

Establish a healthy lifestyle, and ensure that you get enough rest and exercise. Practice mindfulness to reduce stress and improve your resilience. Your physical and mental health are crucial to maintaining efficiency at work.

22. Use AI tools

AI tools enhance work efficiency by automating tasks, providing insights, and streamlining processes, allowing employees to focus on more valuable and strategic work.

FAQs

Is efficiency the same as effectiveness?

No, these two concepts are very different. Efficiency stands for the action of doing tasks on the most optimized method, which means that it must minimize the waste of resources, time, and energy.

On the other hand, effectiveness is to achieve the established goals and objectives, regardless of how efficiently they’re accomplished. Efficiency is focused on how the tasks are made, while effectiveness is on the right tasks being performed for results.

Top AI Chatbot

ChatGPT

ChatGPT

You must already know ChatGPT.

This tool was the most utilized generative AI platform out of all other machine learning models. It had 14.6B visitors from September 2022 to August 2023 – according to a study made by Writerbuddy. That represents over 60% of the analyzed traffic.

Here are some use cases this AI chatbot told me you might have used it for in the last year:

draft a difficult email to renegotiate prices with a customer, write a peculiar joke or poem for a team event, write code, help in ideating for a blog post, and even train the sales team with role plays.

ChatGPT’s key features:
  • Simple, intuitive user interface in the form of a chat, which makes it a smooth user experience for any type of user;
  • Emulates conversational experiences through its voice mode ( available only on mobile );
  • A high degree of adaptability and a large database, which makes it versatile for multiple topics;
  • It supports multiple languages, currently over 50.
  • Unlike other conversational AI tools that generate predefined responses, ChatGPT can contextually generate relevant output based on natural language prompts.
ChatGPT limitations
  • Its responses can be inaccurate or biased – the output generated comes from the user’s inputs, too, which impacts the validity of its responses;
  • The free version, particularly, can be buggy and crashes, but the paid version has usage caps, too, as some users report on the OpenAI community;
  • Its output may seem illogical or generic, as it lacks human logic and attention to detail;
  • Despite its built-in security measures, it may cause some major security threats.

What are the Best AI tools for writing?

GrammarlyGo

GrammarlyGo

GrammarlyGo is an innovative content creation AI tool you must have heard of.

This is one of the productivity tools that has metamorphosed in recent years by evolving beyond simply correcting grammar mistakes or grammatical errors. It incorporated generative AI features.

It offers a broad range of functionalities, such as composing, rewriting, and generating drafts based on prompts. It even includes creating new versions of written text with a different tone of voice, clarity, or length. GrammarlyGo can process and understand language at an advanced level, enabling its users to write in a unique style and voice.

GrammarlyGO’s key features
  • Customization of writing style and voice to adjust to your communication guidelines;

  • AI writing assistance and contextual understanding: generates content, improves existing texts, and ideates for topics almost instantly, based on your prompts or suggestions;

  • Automatic summarization of long blocks of text; it can generate content for an email so you can be concise;

  • It can integrate with various platforms and lets you write and edit in your usual workspaces, such as Google Docs or WordPress;

  • Built-in plagiarism checker that flags specific sentences and even references the source.

GrammarlyGo limitations
  • Depending on your plan, you have access to a limited number of prompts per month (e.g., for a free plan, you have 100, whereas for a paid plan, you have 1000);

  • You won’t have unlimited words, either, but a maximum of 150.000 per month;

  • The only language currently supported is English;

  • GrammarlyGO is still in the beta version, which requires diligent checks on your text prompt.

    Jasper

    Jasper

    Another tool that helps you skip the blank page phase in content creation is Jasper.

    It is one of the most searched-for AI productivity apps out there. It specializes in long-form content. That can be a blog post, an outline, a script, etc. You can find product description templates, too.

    Jasper’s key features
    • Has three distinct modes (Focus, Chat, and Power Mode) – helping you keep distractions away with Jasper and quickly give it text prompts;
    • You can prompt it with your voice, too, through its chat function;
    • Access to dozens of templates to get you started and access to the internet to research while sharing sources;
    • Though it’s a content creation tool, it even generates images with artificial intelligence;
    • Multiple integrations, including Grammarly or Surfer SEO, are needed for high ranks in search engines.
    Jasper limitations
    • It has a plagiarism detection feature powered by Copyscape, but it requires an additional fee on top of Jasper, which is not ideal;

    • As content writing requires research, Jasper falls short of technical writing, and you’d need to edit and diligently research the topics yourself to ensure accuracy.

    The top-rated image-generation AI software

    Dall-E-2, best AI tools

    DALL-E 2

    Developed by the mother company OpenAI, DALL-E 2 is an image generation tool that produces fantastical and realistic images based on natural language text prompts.

    Interestingly, the origin of its name comes from the artist Salvador Dalí and the animated character WALL-E.

    Anyhow, this AI tool showcases AI’s capability to understand and visualize concepts, producing a wide range of images in multiple formats.

    DALL-E 2’s key features
    • DALL-E 2 can produce compelling visuals that can be used in advertising, gaming and entertainment, e-commerce, or even education and art;

    • has a good style mimicking feature by generating images in the style of certain artists, art movements, or based on an image as input;

    • DALL-E can generate images across various formats, from technical PDFs to poetry;

    • robust image editing and variation generation – alters an image you give it and generates multiple variations based on the modified text prompts.

    DALL-E 2 limitations
    • inconsistencies in its image generation feature, as DALL-E sometimes creates images inconsistent with the text prompt, particularly in textual variations;

    • the image quality is, at times, of lower resolution and blurry instead of sharp;

    • there may be copyright infringement concerns, as this artificial intelligence tool generates images that closely resemble an existing image or, even more, with specific artwork.

    Midjouney - image generator

    Midjourney

    Midjourney is an AI image generator that can turn your vision into images you might not have imagined possible, even if you reiterated thousands of prompts in Google Docs.

    Or, maybe you could have?

    Taking 4th place in the Writerbuddy study with 500.4M visitors from September 2022 to August 2023, I am almost certain many corners of the Internet have seen a Midjourney-generated image.

    As its outputs are impressive, Midjourney has gained popularity among marketing agencies, and other businesses are experimenting with it.

    This machine-learning tool created some product designs, brand imagery, marketing materials, and other images shared on social media posts.

    Midjourney’s key features
    • Midjourney has a powerful community of users on Discord, where users or beginners can gain best practices and speed up the learning curve. Its Discord community is the largest, with 17.5 million users, as of December 2023;

    • compared to V3 AND V4, Version 5 allows for a wide variety of outputs, with better responsiveness to user inputs and better natural language processing;

    • create images realistically, but with a very good blend of imaginary and artistic artwork characteristics and details ( especially in the V5 version).

    Midjourney limitations
    • Discord can be overwhelming for new users, so navigating Midjourney Discord can take some time, so users can feel discouraged from using the app;

    • its prompting tool does not fully understand the context of the text prompts and focuses on creating aesthetically pleasing images. Therefore, you might be disappointed in the discrepancy between vision and output.

    Lumen5 limitations
    • its dependency on templates can be a disadvantage, limiting the potential for unique, animated videos or room for customization;

    • Lumen5’s free plan has considerable limitations, such as the video resolution being 720p(whereas the paid plan is 1080p) and your video having a watermark ( this would require using a tool with a magic eraser)

    TIP: Read our blog and find out why Lumen5 is one of the best artificial intelligence tools for marketing.

    What makes a good AI tool for you?

    The pace at which AI tools are created is too hard to keep up with. With such frenzy and countless apps available, you need to save time and choose the best one for you among “the other tools” on the market.

    Keep into account the following:

    • Your objectives: Identify what you want to achieve with these AI productivity tools. Is it to drive sales, estimate costs better, or enhance operations? Then, such apps should directly contribute to your goals.
    • The app’s capabilities: Simply check whether the tool has features that meet your needs. For instance, if you’re looking to enhance customer interactions, look for advanced natural language processing capabilities.
    • Thorough testing: Use free trials or demos to test the tool’s functionality, but remember, it would be best for the direct users to test the machine AI productivity tools themselves.
    • Easy navigation: It may already sound like a buzzword for a tool to have an intuitive user interface. Still, if you lose that from sight, your team may not use it or spend hours trying to build a seamless workflow.
    • High scalability: Ensure your productivity tools can grow with your business, too, by handling higher workloads or data.
    • Compatibility with current platforms: Ensure minimal disruptions and smoother adoption by choosing a tool that integrates easily with your current tech infrastructure.

    Conclusion

    Regardless of the AI model you choose to try from this list, the growth of these AI apps is ever-changing, and so is the entire business landscape.

    You can start to automatically track time with Timeular’s precision to escape time-consuming tasks like manually tracking time or use image generators like DallE or Midjourney.

    Each tool in the list contributes to automating mundane tasks, so review your objectives and thoroughly test a tool’s capabilities, scalability, and how it merges into your workflow.

    After all, you should reduce costs, speed up work, and increase efficiency and profitability.

    FAQS

    Is Stable Diffusion the new image and video generation technology we should explore?

    In essence, it’s a generative artificial intelligence (generative AI) model that creates photorealistic images, videos, and animations from image and text prompts.
    Stable diffusion uses a diffusion model, which differs from other image generation models. Midjourney, for example, uses a machine-learning model, whereas Stable Diffusion uses free source code.
    Its main differentiators are that it can be run on desktops or laptops equipped with GPUs, and it’s easier to use than tools of its kind. Has ample documentation and how-to tutorials.

    What other AI productivity tools should I look into?

    I’m currently exploring Reclaim AI and Notion AI, which have made quite an impression so far. I’m a huge fan of Notion pages.

    What constitutes fair pricing for AI productivity tools?

    By doing a simple Google search, we found the most searched phrases, such as “AI pricing free” or “Jasper pricing creator,” which reinforces the need to understand how much we should pay for AI productivity tools.
    Many AI tools come with a free plan, which can be a great starting point for small businesses, but when you consider custom pricing, the price for an AI app should not surpass your regular balance check between the value offered versus ROI.

    If you’re like me, you need to know how many business days there are in a year. Why? It’s simple! So I can plan my workload, holidays, and weekend getaways and have more predictability. Let’s dive into how many work days we have in 2024 and discover how we can plan around that!

    In this article, you’ll learn:

    • Why is 2024 a leap year, and how does this affect working days?
    • What’s the history of how many working days and hours we work?

    • How many work days do we have in 2024?

    • How do we plan our 2024 work schedule?

    What are leap years?

    You might have heard that 2024 is a leap year, which means that it has an extra work day. A leap year is a year that has one extra day added to it in order to keep the calendar year synchronized with the astronomical year. An astronomical year is essentially the time planet Earth needs to complete its orbit around the Sun.

    As the Earth’s orbit around the Sun takes approximately 365.25 days, once every four years, we have one more day in February (the 29th) so that our calendar stays in sync with the four seasons.

    Regularly, one year has 365 total days, out of which 260 are working days. Since 2024 is special, we’ll have 261 working days.

    History: How many work days in a year

    So, how did it all start, and why do we work 8 hours a day for 5 days a week? Note that 5 days per week, eight hours per day, is a standard, but not applied everywhere.

    Let’s take a trip down memory lane in recent history:

    We could go back to the Babylonian era, 4000 years ago, as there this is where working days and hours were first tied back to, but I’ll stick to the ’90s, as it’s well connected to the way we work nowadays.

    Imagine it’s 1914.

    Henry Ford had just created his first factory assembly line. The company’s productivity not only increased but skyrocketed! Car construction that took 12 and 1/2 work hours now takes 1 and 1/2 work hours. Ford decides to double the pay and reduce the labor day from 9 to 8 hours. Sometime later, he reduces the work week from six to five days.

    Ford’s employees are thrilled, and the company thrives both in profitability and productivity. Not long after, the five working days a week became standard practice, and many other manufacturers followed Ford’s lead. This even became a law in 1939.

    Working days, working hours law labor

    I need to mention that Ford’s move was not entirely altruistic.

    Why? He believed that people who had enough leisure time would also spend money and enhance capitalism. If the average person followed a seven-day week only to work, they wouldn’t find the use for consumer goods, including Ford’s automobiles, as he said. So it made total sense to have fewer working days for capitalism’s sake.

    Was Ford the initiator of the idea? You need to know that Ford was not the creator of the idea, but he adopted and helped with its implementation. It was labor activist Robert Owen who started the movement 100 years prior to Ford. Owen was saying that the average number of working hours per week (70 hours a week at that time) in factories was unsustainable and inhumane.

    In 1886, Owen articulated the slogan of our current lifestyles: “Eight hours for labor, eight hours for rest, eight hours for what we will.”

    8 hours per day for working weeks

    What does the contemporary workweek look like?

    Thanks to Ford, this brings us to today’s standard: 5 days a week for 8 hours per day. However, the number of working days varies depending on the country of origin. Public holidays are different, too, and weekend days are not always off.

    The labor market nowadays differs, is complex and less standard than 100 years ago. You’ll find that some European countries are starting to adopt a 4-days work week policy, while American ones are still falling behind on this trend. On the other side of the spectrum, Greece recently introduced a 6-day working week for certain industries.

    Typically, the average working days in most countries is between 220 and 260 per year.

    You spend 71.5% of your year at work

    Make sure your time is well spent by managing it with time tracking apps.

    The differences in work days in a year differ due to the flexible nature of our jobs. We can work part-time and not only full-time, but we’re also working as contractors with 3 or 4 days of work per week, we can have on-call hours, which is frequent for programmers, even after the regular work hours schedule is finalized.

    how many work days

    How many working days there will be in 2024?

    2024 is a leap year, which means that it contains one extra workday.

    So, starting with the standard of 365 total days in a common year, 2024, as a leap year, will have 366. That means that the calendar year has 52 weeks, from which we’ll have to deduct weekends, federal holidays, and vacation days. Hence, we have this formula:

    Total number of work days = Total number of days a year – weekends – federal holidays – vacation days

    work days

    Number of weekend days in 2024

    In 2024, there are 52 Saturdays and 52 Sundays, leaving us with 104 weekend days. By subtracting weekends (104 days) from the total days (366), we’re now left with 262 working days.

    Number of federal holidays in 2024

    Note that, generally, both public sector and federal employees have included in their leave tracking system all federal holidays as paid time off. However, this might not be the case for private employees too, as there is no regulation that requires a private employer to do so.

    The US federal holidays are listed on the U.S. Office of Personnel Management Website, but here are the federal holidays for the record:

    1. New Year’s Day — Monday, January 1st,

    2. Martin Luther King Jr. Day — Monday, January 15th,

    3. Presidents’ Day (or Washington’s Birthday) — Monday, February 19th,

    4. Memorial Day — Monday, May 27th,

    5. Juneteenth National Independence Day — Wednesday, June 19th,

    6. Independence Day — Thursday, July 4th,

    7. Labor Day — Monday, September 2nd,

    8. Columbus Day — Monday, October 14th,

    9. Veterans Day — Monday, November 11th,

    10. Thanksgiving Day — Thursday, November 28th, and

    11. Christmas Day — Wednesday, December 25th.

    For Washington, D.C. employees, you’ll receive one extra day off this year, as you’ll celebrate Inauguration Day on January 20th. Remember, you can celebrate this day once every four years.

    After deducting the federal holidays (11), we’re now left with 251 working days in a year.

    Number of holiday days

    As the number of holidays in the US typically varies depending on the employer, an employee’s position, and the tenure length, I’ll make the calculations based on the generally accepted number, 11.

    You might already be aware of this, but keep in mind the American culture of overwork and the current burnout crisis; the more you can reduce the number of work weeks and annual work hours, the better your work-life balance will be.

    Getting back to paid days off, we’ll now deduct from the number of working days left (251) the additional holidays (11), and we’re left with 240 working days in 2024.

    Keep in mind that your final number may differ based on how many public holidays you have, if your state has an additional federal holiday, or if your employer offers more holidays. If you’re accounting for all the other factors in your formula, you’ll find the exact number of working days.

    How many work hours there will be in 2024?

    This calculation is based on the above-mentioned federal holidays and vacation days and with a standard 8 working hours a day.

    Number of work hours in 2024 = Total number of work days in 2024 x 8 hours = 240 x 8 = 1,920

    Therefore, your total number of work hours in 2024 will be 1,920.

    If we subtract the 11 holiday days we assumed you’d have, the total number of work hours will be:

    Number of work hours in 2024 = 251 x 8 = 2,008.

    So, if you don’t have these vacation days in 2024, you’ll work 2,008 hours.

    How do you make sure you leverage your 1,920 hours at work?

    An automatic time-tracking makes you aware of your time-spending habits and helps you make better use of your time.

    Tips and tricks to plan your 2024 work schedule

    It may seem like 240 work days is more than enough, but you need to take control of your time and plan your work goals in advance.

    You need to have clarity on what annual income you want to reach, what projects make sense for your career if you’re pivoting towards a new role, or increasing that steady hourly rate.

    This way, you’ll feel that there’s an evolution, and you’re taking control over your work day, not the other way around.

    Set realistic goals

    Setting goals that are attainable and based on objective reality is the primal step toward success. Set achievable daily, weekly, and yearly goals. You can use the SMART method as the simplest one, and you can even set OKRs or KPIs to measure your success.

    We’ve written more about how to set realistic goals in a comprehensive article, but here’s a simple framework:

    setting goals for business days

    Plan

    Now, break your tasks into smaller, manageable steps, and make sure your time allocation for goals is on point. Tackle large projects in smaller tasks so that you can have an equilibrated workload management during the year.

    Keep in mind that you might fall into the planning fallacy, which makes you believe everything is possible. The same cognitive bias makes you underestimate the time, costs, and potential risks while overestimating the benefits. So, it’s best to allocate more time than you think is needed to complete tasks.

    For your planning process, you can use some of the best digital planners, Kanban boards, or to-do lists.

    In your planning process, these articles might be useful:

    Make a time budget

    Time budgets make you be efficient with your time and eases you into using your time intentionally and removing time wasters from your work schedule.

    The best action you can take is to use time management techniques. I’ll just list some strategies as you can find comprehensive guides into each strategy on our blog, but here are some of the most effective:

    1. Timeboxing

    2. Time blocking

    3. The Pomodoro Technique

    4. Task batching

    All these techniques help you leverage time as a resource, increase your productivity, and really perceive time as a limited budget that ends at some point.

    Carry a time audit from time to time

    Get an objective overview of your time-spending habits and how you’re progressing toward your goals as often as possible.

    A time audit involves just keeping a detailed log of your work so you can identify patterns or areas for improvement.

    Using a time-tracking app or a time journal can help. An automatic time tracker like Timeular is obviously an effortless choice.

    Timeular is a reliable tool to stay informed on your employees’ work, overtime, or deficit hours and manage any type of time off.

    Check what Timeular allows you to do:

    • See who’s away and when,
    • Approve or decline time off requests (employees can request time off, too),
    • Export time off and get all balances either in CSV or Excel, and more.

    Get to see in this video how the above features work in Timeular:

    Conclusion

    Your number of total work days in 2024 will be 240, provided that you’ll take 11 holiday days and the 11 federal holidays, too. For that scenario, the total number of work hours will be 1,920.

    While the purpose of this article is not to get into this topic, I do have to probably warn you, as many others are already doing (without a factor of novelty), that there’s a plethora of content that confirms we’re entrenched in a culture of over-work, and in the midst of a burnout crisis. So, plan your work for 2024 with a healthy work-life balance in mind.

    Do the mere thoughts of time passing, tasks creeping into your list, and deadlines looming on you make your heart race?

    I get you! I’ve been there many times.

    However, it’s high time you take control of your time anxiety and diminish this crippling feeling that takes such a toll on your productivity and mental health.

    In order for that to happen, you need to understand the main causes, symptoms, and strategies to beat the stress associated with time management. This article will teach you all of the above.

    What is time anxiety?

    Time anxiety means that you are going through “ongoing feelings of uneasiness and even dread around the passage of time,” according to Healthline.

    In essence, time anxiety occurs when you are worried about not having enough time to perform all your tasks or that you’re wasting time. On many occasions, time anxiety takes over your ability to think rationally and objectively perceive your time and reality.

    Time anxiety is not recognized officially as clinical anxiety. However, it is included in the GAD (Generalized Anxiety Disorder) category, which states that anxiety disorders become generalized if worrying happens on most days and for at least 6 months.

    Time anxiety takes different shapes and forms, from being slightly stressed around important deadlines to always feeling overwhelmed and stressed. The literature describes time anxiety as chronophobia. Chronophonia can take multiple forms:

    • Daily time anxiety: You’re feeling an ongoing rush in your everyday life and anxious that there’s not enough time to finish tasks.

    • Tomorrow time anxiety: The anxiety symptoms in this scenario are related to stressing over the future, perfection, not necessarily tomorrow, but future deadlines or requests that you have to live up to. In this case, you’re functioning based on “What ifs” that are blocking you. Common questions that fall into the future time anxiety category are: “What if I fail?” or “What if I won’t make it in time?.”

    • Existential time anxiety: This type of anxiety is natural for all of us unless it’s out of control, which makes it an anxiety disorder. We all are worried about potential natural disasters or our limited time on Earth and how much we make it count. Note that even if it’s normal to feel anxious from time to time due to our existence, if you experience serious mood disorders or time anxiety attacks, it’s best to contact a mental health professional.

    Recognize time anxiety symptoms

    Constant feelings of rush and overwhelm

    If you find yourself constantly worrying about time in your day-to-day life or at work, you may experience this time anxiety symptom.

    Here are some patterns you might have and should be aware of:

    1. Physical symptoms: Your body’s stress reaction is the first warning that you can asses. Do you often have an increased heart rate, difficulty breathing, tense muscles, and headaches due to the unending stress? Do these symptoms persist outside of work hours, too? This means your rush to finalize tasks triggers prolonged stress and a fight-or-flight response in your sympathetic nervous system.

    2. You have toxic work habits: You’re multitasking excessively, doing a lot of overtime, and there are not enough hours to navigate to your to-do list. Nevertheless, you never feel like you’re doing enough.

    3. Cognitive overload: Do you feel like your decision-making, creativity, and focus abilities are considerably reduced because you feel anxious? Anxiety has the ability to impair all these abilities, can lead to panic attacks, and affect your well-being.

    4. Emotional strain: Do you frequently feel frustrated, irritable, or helpless? The constant stressful sense that there’s never enough time doesn’t allow your nervous system to get to a rest and digest response.

    Procrastination and avoidance

    For someone with time anxiety, procrastinating almost feels like a paradox of productivity in which you might get caught up. Despite being constantly worried about running out of time, you frequently procrastinate.

    1. Task initiation paralysis: Do you spend an excessive amount of time planning or strategizing your work but struggle to begin the actual task?

    2. Perfectionism: Are you pressured to deliver flawless work? Does it seem daunting to take the first step?

    3. Distraction seeking: Are you seeking distractions or engaging in low-priority tasks like checking emails, researching a project too much, or tidying your workspace?

    Feeling stressed when you did not finish everything you had to

    This feeling is a hallmark symptom of time anxiety. The pressure to accomplish everything on your to-do list leads to significant stress, impacting both mental well-being and productivity. Here are the elements to analyze:

    1. Guilt and self-criticism: Are you often criticizing yourself when tasks remain unfinished? Do you criticize yourself for your time management skills?

    2. Hyper-focus on time: Are you overly fixated on checking the time and calculating how much you have left to complete your work? Do you feel anxious if you take a few moments for a break before launching a project?

    3. Rumination: Do you find yourself thinking about unfinished tasks outside work hours? Are you feeling anxious and have a hard time enjoying your personal time but thinking about work?

    Overstressing as deadlines approach or even when they are far out

    The fear of time often originates from a profound fear of not having enough time to complete your tasks to your desired standard. This fear can manifest as overstressing, regardless of how imminent or distant a deadline is.

    1. Pre-deadline panic: Are you stressing over deadlines, even if they are weeks or months away? Do you feel a persistent sense of dread related to deadlines? Do deadlines prevent you from fully relaxing or enjoying your daily life, as you’re constantly preoccupied with what needs to be done?

    Worrying about being late to calls, work, or other events

    Being on time is undoubtedly important. However, the fear of being late to work, meetings, or other events adds up to a significant source of stress. Ask yourself the following questions:

    • Morning rush: Are you afraid of being late to work, and you’re frantically racing against the clock? Do you often give up on your morning routines to get to work?

    • Hyper-vigilance: Do you constantly check the time or leave excessively early for meetings? Do you avoid scheduling commitments close together to ensure you are never late?

    • Physical symptoms: Do you feel highly stressed when you know you’ll be late and your heart rate is beating harder? Are you sweating or feeling other physical anxiety symptoms when you know you’ll be late?

    Keep in mind that time anxiety related to being late can originate in a social anxiety disorder, which needs to be discovered by a mental health professional.

    Causes and solutions to beat time anxiety

    Difficulty with time management

    Poor time management is one of the main and crucial things that lead to time anxiety, particularly in high-pressure environments. When you don’t know how to manage your time, you’re feeling rushed, and negative thoughts start attacking your senses.

    Effective time management means planning and controlling how much time you spend on specific tasks to maximize productivity.

    Solutions:

    There are a few practical ways in which you can improve your time management:

    1. Use a time-tracking tool to identify how you’re spending time

    As you’re not aware of your time-spending habits, you need to start with an objective witness to how your time passes.

    Such a tool helps you understand, identify, and correct your work habits, the time wasters in your schedule, and surfaces insights like when you’re productive or not or what apps are time-consuming.

    This AI-generated dashboard in Timeular is a good example:

    Time anxiety

    2. Use simple time management strategies

    To escape this ongoing feeling of anxiety in your everyday life and gain more control, you need to start applying simple yet powerful methods. Here are X simple examples:

    A. Time blocking: Schedule focused work periods for specific tasks. All you have to do is block 30 minutes for that task you’ve been dreading and focus only on it for that time frame. Simpler said, break your to-do list into timed slots and protect that time.

    Time-blocking example in a workday:

    • Deep work block (8:30 AM – 11:00 AM): Focused work on your main marketing project

    • Email and admin (11:00 AM – 12:00 PM): Respond to emails and administrative tasks

    • Lunch Break (12:00 PM – 1:00 PM)

    • Buffer time (1:00 PM – 1:30 PM): Add buffers for any unexpected events that may delay your schedule

    • Client Meetings (1:30 PM – 3:00 PM)

    • Project work (3:00 PM – 5:00 PM): Continue working on secondary projects

    Recommended read: What is deep work.

    Escape the feeling of anxiety with proper time tracking

    Timeular helps you track time without effort so you can easily manage and control it.

    B. The Pomodoro technique: Work for 25 minutes and then take a 5-minute break. Repeat again. In these 25 minutes of focused work, do not interrupt yourself. You’ll discover that if you’re setting a timer, the pressure of time will drive productivity. To make your life easier, use our free Pomodoro timer.

    • First Pomodoro (9:00 AM – 9:25 AM): Do research on the feasibility of a potential project

    • Break (9:25 AM – 9:30 AM): Stand up, stretch, and do some mindful breathing

    • Second Pomodoro (9:30 AM – 9:55 AM): Start shaping the project in your PM tool

    • Break (9:55 AM – 10:00 AM): Quick walk, 1-minute deep breathing exercise, have a glass of water

    • Third Pomodoro (10:00 AM – 10:25 AM): Write potential scenarios of implementation

    • Break (10:25 AM – 10:30 AM): Check personal messages briefly

    • Fourth Pomodoro (10:30 AM – 10:55 AM): Finalize and send the first draft to your team for feedback

    • Long break (10:55 AM – 11:10 AM): Grab a snack and relax

    Poor task prioritization

    Competing demands and limited resources deepen your time anxiety, but it doesn’t have to be this way if you learn to prioritize better.

    You don’t have to always live in a spray and pray hectic environment as it worsens your anxiety.

    Solution:

    A. Use the ABCDE method: This method implies assigning tasks into categories based on prioritization criteria like their importance and urgency. You have to assign tasks into 5 categories:

    How to apply it:

    1. List all your tasks.

    2. Assign them to the above 5 groups: A, B, C, D, or E.

    3. Prioritize tasks and plan your work:

    • Start with task A first.

    • Schedule B tasks.

    • Set aside time for C.

    • Delegate category D tasks to anyone else who can handle these tasks.

    • Eliminate or minimize E tasks.

    Setting unrealistic goals and overcommitting to them

    Setting unattainable goals within a certain timeframe and then overcommitting to them is the path to failure to meet deadlines, lower quality of work, and impacts self-confidence and morale, too.

    All of the above further exacerbates your time anxiety.

    Solution:

    A. Learn to set realistic goals: Besides setting manageable and attainable goals, this process needs to encompass assessing your capacity and constantly reviewing and adjusting your goals. It takes practice, but here are some steps you can take:

    1. Assess your capacity: Evaluate your workload and capacity on a regular basis before taking on new tasks. Carrying a quick time audit is one of the best ways to understand capacity. You need to understand your limits and communicate clearly to your managers, team members, and clients.

    2. Set realistic goals: Set achievable goals relying on your realistic assessment of resources and time. Break bigger goals into smaller ones with manageable deadlines. If you’re looking to learn more about why it is important to set realistic goals, dive into our guide.

    3. Review and adjust: The last pivotal puzzle piece in workload management is the ongoing review of how you’re progressing toward your goals and making the necessary adjustments. Stay flexible so you can maintain realistic expectations and progress.

    B. Learn how to say no to work: It’s important to learn how to say no, and perform this exercise as often as it’s needed. This way, you’re ensuring you’re taking your projects to the finish line and not letting other people down. Politely but firmly communicate your current workload, and come up with counter-proposals (it can be in terms of timelines or recommending other people that can take over tasks).

    Perfectionism and high expectations

    We’re all falling into a perfectionism trap. The problem is, however, that we can’t always deliver flawless projects to the highest standards. It’s great that you’re trying to strive for excellence, but it’s nearly impossible to always meet them. This hyper-awareness of never making a mistake can heighten your stress levels and time anxiety.

    Solutions:

    • Embrace imperfection: Admit that mistakes are part of your learning and development process. Try to embrace the concept of “good enough” to escape the pressure of achieving perfection.

    • Practice self-compassion: Try to be kinder to yourself and acknowledge your good results and efforts rather than focusing on your shortcomings. This can help you reduce your constant anxiety associated with high expectations.

    • Seek feedback: Looking for an objective perspective often clears things out. Reach out to colleagues, managers, or mentors to help you understand when your work meets the standards you’re up against.

    Going through an uncontrollable fear of time

    The uncontrollable fear of time, which is known as chronophobia, is a profound and crippling element of time anxiety. It is an irrational fear of the passage of time, which heightens your stress and impact you both personally and professionally.

    Solutions:

    • Seek professional help: When your fear of time is overwhelming and unmanageable, it’s high time you seek help from a mental health professional. A professional in this field is able to identify if you have a generalized anxiety disorder or if it can be managed with relaxation techniques or talk therapy. Regardless of the results, a therapist will help you feel less stressed and will offer you treatment options.

    • Start mindfulness and grounding techniques: Practices like deep breathing exercises and grounding methods can help your system’s reaction to time anxiety. Deep breathing deactivates your sympathetic nervous system’s fight-flight or freeze response and brings it to a calmer state, in which you can be more rational and less anxious. Box breathing is a deep breathing technique that’s demonstrated to block the common symptoms of anxiety and help you stay in the present moment.

    • Try cognitive behavioral therapy (CBT): This commitment therapy helps you challenge your time-bound irrational thoughts and slowly develop a better relationship with time. A CBT therapist helps you change your negative thought patterns and behaviors to healthier thinking patterns.

    Start tracking time with to escape the crippling feeling of anxiety

    Conclusion

    This guide helps you manage your time and anxiety better when you feel stressed and enjoy your daily life and life opportunities more.

    Remember, the easiest and fastest steps you can start with are closely monitoring your time to have a better grasp of it, breathing slowly, and thinking more positively about any important event that you used to stress about. If you’re considering you have a generalized anxiety disorder, I highly recommend seeking support to easily and steadily lower your time anxiety.

Having clarity on your goals will help you narrow down your options. You also need to have clarity on what you’re trying to use the iPad for, whether it is personal tasks or professional ones.

    • Pricing: Evaluate the pricing structure of the app, including any subscription plans, one-time purchases, or freemium models. Consider your budget and the value you expect to gain from the app. Remember that while some apps offer free versions, premium features may require a subscription or one-time payment.
    • User reviews and ratings: read user reviews and ratings for the app you’re considering. Pay attention to feedback regarding reliability, performance, customer support, and updates. User reviews can provide valuable insights into the app’s strengths and weaknesses.
    • Trial period or demo: whenever possible, take advantage of free trials or demos offered by app developers. This allows you to test the app firsthand, exploring its features and assessing how well it suits your workflow before committing to a purchase.

    By considering these factors and aligning them with your specific requirements, you can choose the best productivity app for your iPad that maximizes your efficiency and helps you achieve your goals.

    On the flip side, poor time management leads to multiple psychological impacts, such as increased stress, feelings of being overwhelmed, and a sense of never catching up. This creates a negative work environment, where managers and their teams constantly feel pressured and unable to focus on tasks that truly matter.

    An important mention to keep in mind: it’s important to distinguish between being busy and being productive so that you can work smarter. Busy work often involves tackling tasks without a clear sense of priority or purpose, while productive time use is goal-oriented and results-focused.

    Why is time management important?

    Needless to say, once you consider the above benefits of time management, you quickly understand the importance of time management.

    Managing time efficiently is important as it helps you:

    • Have a balanced lifestyle while also prioritizing personal life
    • Have control over your career and its development
    • Grow your business or projects to new heights
    • Save time and reduce stress, with higher satisfaction
    • Make steady progress instead of stretches in achieving goals
    • Deal with time anxiety
    • Helps small business owners achieve greater focus, build positive habits, and handle busy work schedules with less stress, ultimately leading to more significant achievements for their business

    As you can observe, the importance of time management speaks about the benefits of time management, in essence.

    However, since you’re here, you might already understand the need for proper time management, but you don’t have a solution. If you’re looking for an online tool that’s speeding up your time management process and automating it entirely, Timeular is here to help with that and more.

    Before diving into other topics, here’s a time management glossary to get familiar with terms related to managing time:

    • A time budget is a plan for effectively allocating and managing time, similar to a budget plan for money. It aids in enhancing productive work and producing high-quality work.

    • Time estimation is forecasting how long a task or project will take. It’s crucial in any job as it helps plan and effectively manage resources.

    • The Time monkey effect is a subjective feeling that time goes faster or slower based on whether we like or dislike the work performed.

    • Time wasters can be non-essential tasks that waste too much time without producing valuable outputs or nice-to-haves in a project. Time wasters can be individuals, too – they can steer others toward unproductive actions.

    • Timesheet reminders are manual or automatic reminders, i.e., timesheet memes, emails, Slack messages, to track time.
    • Time management apps are online applications (both for desktop, web, and mobile) that support users in effective time management. Usually, they provide features like time tracking, PTO tracking, overtime tracking, and more.

    1. Start tracking your time to learn how to manage it

    To improve your time management skills, you can add time-tracking to your routine or for your team.

    If you and your employees have a hunch that you need to improve productivity but don’t know what to start with, tracking time spent on all your tasks can be the first practical step.

    If you have a hunch that you need to improve productivity but don’t know what to start with, tracking time spent on all your tasks is the best first step.

    A time-tracking app such as Timeular can make this process effortless for you, as it automatically records your work in the background while you focus on the most important tasks.

    Here’s what an AI time-tracking software does for you:

    • Tracks automatically your time on tasks: captures app, website, and document usage;
    • Gives you automated suggestions and reminders to fill your calendar;
    • It works as a time reporting system showing your productivity trends and app usage so that you can identify patterns of efficiency;
    • Tracks billable and non-billable hours – allows you to track non-billable and billable hours with a click;
    • Allows you to track up to 1,000 tasks with a physical time-tracking cube by simply switching one side of the dice;

    2. Ask the right time-related questions

    Time management is effective because it relies on intentional and accurate time-tracking.

    By diligently logging in real-time in a time-tracking software the time spent on projects, you can proactively control outcomes and prevent roadblocks.

    You’ll also be able to address questions such as:

    • Do you and your team have the bandwidth to handle other tasks?
    • Is there a recurring task that needs intervention, as it’s consistently put aside?
    • Are deadlines looming up on the team, and do you need to reshuffle priorities?
    • Are there urgent tasks consuming more time than anticipated?

    TIP: the importance of time management needs to be grasped by the entire team, so a team time tracker is a good solution, as it builds self-discipline and awareness of time management.

    3. Carry regular time audits

    If you’re worried when hearing “audit” and think this might be a tedious and lengthy process, it’s not.

    Doing a time audit is a rapid assessment of the duration of your tasks. Ideally, a time audit should be run once a week so that you can objectify your time and make better estimates.

    Objectify time? Let me explain that – it’s related to the Time Monkey Effect. This Monkey Effect misleads us into miscalculating how much time we spend on some tasks based on how much we like or dislike them.

    This skewed perspective makes us prioritize tasks inefficiently, make wrong estimations, and not allocate enough time for challenging tasks.

    Dive into time auditing for a thorough understanding of its steps. Time management templates might help you along the way.

    4. Remember to take regular breaks

    Being productive differs from being busy, and if you’re looking to work smarter rather than staying busy, free time between tasks is vital.

    To manage your time better, you need to find a good balance between knowing when to stay focused and when to have a break to eliminate stress levels. This is a strategic way to improve proper time management skills, as it:

    • Prevents burnout and keeps energy levels balanced;

    • Helps build positive habits to protect your mental health;

    • Ensures consistent productivity while you’ll be perceiving less effort compared to constant work;

    • Gives your brain the much-needed rest and less stress;

    • Helps achieve greater focus and increased energy upon returning to work;

    These periodic rests will lead you to achieve optimal efficiency. Techniques such as Timeboxing or the Pomodoro Technique (Use a free Pomodoro timer) integrate these breaks seamlessly into your workflow instead of seeing them as disruptions.

    5. Implement time management techniques

    A time management technique will help you control your time, limit distractions, and use it efficiently throughout the day so that you can be fulfilled with your outcomes.

    When your essential time management skills are falling short, you can resort to using time-tracking tools to monitor and inform you of your performance, as well as time management methods.

    The following techniques:

    • Timeboxing: Primarily used in Scrum and Agile project management, this method entices you to allocate specific time slots for specific tasks ranging from minutes to weeks, and it promotes meeting the deadline within the pre-defined timebox.
    • The 4 Ds of time management: The 4 Ds of time management technique offers a basis for categorizing and prioritising tasks into four categories: Delete, Delegate, Defer, and Do. Once you’ve clustered your tasks, you can start working smarter and with less overwhelm.
    • Time blocking: Time blocking allows you to break your to-do list into timed slots. It involves scheduling focused blocks of work for one task at a time. It prevents overload, consumes energy on multitasking, and limits distractions so you can progress on your work tasks, and not only. (Download: Free daily time blocking template)
    • Time management matrix: Also known as the Eisenhower Matrix, this method allows effective prioritization of work by breaking tasks into buckets of importance and urgency. You’ll add your urgent and important tasks in four quadrants, and based on that, decide which are the most important tasks to start with.
    • Time mapping: This method involves breaking the day into dedicated time blocks, either personal or work duties, contributing to a better work-life balance and efficient planning.
    • The Pomodoro technique originated from the Italian word for “tomato,” andthis method involves deep work in bursts of 25 minutes, followed by a 5-minute break. It enhances focus and contributes to your energy levels, too.

    Common time management pitfalls

    Understanding the importance of time management and implementing effective time management strategies are indeed the first essential steps.

    But it’s equally important to be aware of the common pitfalls hindering your productivity. These mistakes include:

    • Taking on too many tasks without delegating;

    • Underestimating the time needed for a task;

    • Endlessly procrastinating ( if that’s your case, check our guide that explains how to overcome procrastination);
    • Multitasking on your daily tasks while overwhelming yourself.

    Let’s explore multitasking. While being able to perform all the tasks with maximum efficiency at work is praised, studies demonstrate the opposite. Research shows that multitasking affects the brain’s efficiency, as its capacity to shift between tasks is not as good as we’d imagine.

    For your mental gears not to get rustier and rustier the more you multitask – when faced with multiple requirements competing for attention – it’s recommended to simply stop, reassess priorities, and find an approach that works best.

    The other obstacle, procrastination, or delaying or avoiding tasks, is a behavior that can stem from complex underlying causes or patterns. In this case, tackling the root cause as a long-term goal is a step you should consider.
